How to Transfer Inventory Between Square Locations

To transfer stock between Square locations, make the item available at both sites, select the source and destination, enter the actual quantity, create the transfer or transfer order, and have the receiving location confirm what arrived.

Stock transfer or transfer order?

A direct stock transfer records movement between locations. A transfer order adds an operational record that can be searched and tracked, which is more useful when stock is packed, shipped, and received over time. Square's exact options depend on the retail workflow and plan.

Before creating the transfer

  • Confirm at least two active locations exist.
  • Make the item available at both locations.
  • Verify source on-hand stock with a count when risk is high.
  • Check open customer orders and other commitments.
  • Confirm the destination actually needs the stock.
  • Use the same SKU and variation at both locations.

Create the transfer

From Square Dashboard, open Items & services > Item library and choose Actions > Transfer Stock, or use Inventory management > Transfer orders in the relevant workflow. Pack and document the shipment

Use the transfer number on boxes or documents. Record carrier, tracking, ship date, and responsible employees where the process supports it. Keep unshipped items separate from shipped items so the source does not double-count.

Receive and reconcile

The destination should count what arrived, not simply accept the expected quantity. Record shortages, overages, damage, and substitutions. Investigate differences before making unrelated manual adjustments.

  • Using separate plus and minus adjustments with no shared reference.
  • Transferring an item not available at the destination.
  • Sending stock already committed to an order.
  • Failing to confirm receipt.
  • Using the wrong location or similar variation.
  • Leaving in-transit transfers open indefinitely.

Decide whether to transfer or reorder

Compare destination stockout risk, source excess, transfer cost, supplier lead time, and expected demand. A transfer can solve an urgent imbalance, but repeated emergency transfers often signal poor allocation or replenishment rules.
