If Square inventory is not updating, first confirm that stock tracking is enabled for the exact variation, the transaction reached the stock-changing state, and the sale, item, and quantity belong to the same location and channel. Then inspect inventory history before forcing a resync or adjustment.
Open the item in Square Dashboard and verify Track stock is enabled for the affected variation. Square notes that items missing from Stock overview may not have tracking enabled. The current stock overview guide provides the live path.
Not every order state changes on-hand stock at the same moment. A paid POS sale normally differs from an unpaid invoice, open order, canceled order, or online order awaiting the relevant fulfillment state. Square's invoice inventory guide, for example, distinguishes stock commitment from on-hand movement.
Search by SKU, not only item name. Duplicate names, generic checkout buttons, and several visually similar variations can make the wrong record appear frozen while another record is changing.
Confirm the POS device is signed into the intended location and the item is assigned to that location. For Square Online, check that the item is assigned to the correct sales channel and fulfillment location. Square's visibility troubleshooting covers common assignment problems.
Open Inventory Management > History and filter for the SKU, location, time, and stock action. If the transaction appears, the problem may be the view, filter, or expected field. If it does not appear, investigate the transaction, mapping, or tracking configuration.
Write down which system is the source of truth for items, quantities, and locations. Check whether the integration maps the same Square catalog object and location. Run one controlled sale and inspect both systems' timestamps and logs. Do not “fix” both sides simultaneously; that can create a second correction when delayed data arrives.
Collect the item name, SKU, variation ID if available, location, transaction ID, expected quantity, actual quantity, timestamp, screenshots, and stock-history export. This makes escalation materially faster than reporting that “inventory is wrong.”
